1. General Inquiries

Official Language

SIDeMaST-ADOI Special Edition is in Italian only.
The official language of the ICD2025 Congress is English.
There will not be simultaneous translation.

In-person congress

The XIV International Congress of Dermatology is in-person only and does not foresee any virtual attendance.

Entry Permission Requirements

Participants coming from EU nations and citizens of USA, Canada, Australia and New Zealand, do not need visas to enter Italy. Most NON-EU citizens from other countries will need a visa and, sometimes, either a declaration or a permit of stay to formalize their visit in Italy. Please consult the Italian Embassy or Consulate nearest to you for specific details related to visas and visit the Italian Foreign Affairs website.

If an entry visa is required, please allow sufficient time for this procedure: to facilitate your VISA request an invitation letter can be downloaded

Required documents

All ICD2025 participants must present the following documents upon arrival at the congress to collect their badges:

  • Letter of Confirmation

The Congress headquarters hotel is Hilton Rome Eur La Lama Hotel.

Dress code

The recommended dress code for the Congress is business casual.

Daily registration

Daily Registration is not available.

Group registration

The deadline for receiving names of group participants is April 15, 2025.
For any changes in group names, the deadline is May 15.

Registration payment methods

Registrations by companies can be paid via bank transfer and upon request by credit card.

Name change

Name changes can be requested before the start of the congress. On-site name changes are not permitted.
The cost for each name change is 50.00 EUR (VAT included)
To initiate the procedure, please contact the Registration Department at the following email icd2025registration@thetriumph.com
Name changes are accepted until May 15, 2025.

Name spelling correction

If you made a mistake by entering your first and last name in the registration process, please contact us at icd2025registration@thetriumph.com and we will change it in the system.

Payment Methods

Only credit cards (Visa, MasterCard, Amex) will be accepted.
Special needs or requests about the method of payment can be addressed to icd2025registration@thetriumph.com

Registration confirmation

After registering, you will receive a confirmation email with a QR code to present at the congress venue to collect your badge, along with the invoice. This will happen about a month before the start of the congress.

Cancellation

Any cancellation must be notified in writing (via email) to the Registration Department (icd2025registration@thetriumph.com).
The Cancellation Policy is also applicable to Courses and Social Event payments.

Industry Representative vs Exhibitor

The badge with the designation “Industry Representative” belongs to dermatology professionals (distributors, industry representatives, company developers, CEOs or COOs) who have access to both the exhibition hall and the scientific sessions, as opposed to “Exhibitor” badges, which only have access to the exhibition hall and the respective company sessions.

Industry Representative fee

This registration category has been created to enable employees of the Industry to gain full access to the Congress (Scientific Sessions + Sponsored Sessions + Exhibition Hall). It is available only by accessing company area through the credentials sent by the ICD2025 Registration Department and it should not be purchased for non-employees of the Industry.

Registration for abstract acceptance holders

If your abstract is accepted, you must register no later than April 30 2025. If you do not register by that date, your abstract will not appear in any ICD print or online publication, nor in the programme book.

3. Education

Scientific Program

Download the official ICD2025 app to consult the scientific program and plan your congress days by saving your favourite sessions in My Agenda. Stay tuned to find out the release date of the Congress App!
The interactive program is also available on the website.
ICD2025 deliberately chooses not to print the scientific program in order to reduce the environmental impact of the congress and create a sustainable approach that will serve as an example to all congresses around the world.

Speakers’ Preview Room

The speakers’ preview room is located at: Rome Convention Center La Nuvola, Level -1 close to the meeting rooms.

Certificate of Attendance

Congress attendance certificates can be downloaded online by accessing your User Area, 10 days after the end of the event. An e-mail will be sent to inform all participants of the correct procedure.

Session Evaluation

Each session can be rated via the congress app, as can the performance of each speaker.
You will find stars (1 to 5) on each session and presentation.

Courses

Courses are 9 paid didactic sessions with limited places. They are of one type, half-day, and costs vary depending on the category selected.
Courses can be purchased directly during the registration process.

E-poster guidelines

Poster can be uploaded until 31st May 2025, clicking here: https://icd2025poster.com/
Presentation Format:

  • Posters must be prepared in English, the official language of the Congress.
  • You may use Word, PowerPoint or any program that can be converted to PDF.
  • Upload your e-Poster ONLY in PDF format.
  • The e-Poster cannot exceed ONE page.
  • Page orientation must be Portrait.
  • As the e-poster is in a digital format, it does not require specific dimensions and it will adapt to the screens.

Recommendations For Designing Your E-Poster:

  • It is strongly recommended that you use a clear font (e.g., Arial, Arial black, Calibri…) and regular font size not less than 28 for the body of the different sections.
  • For image, pictures or graphs, the suggested resolution is 300 dpi. To check that they appear correctly on the final/printed version, zoom in at 100% and check the images, pictures and graphs. It is better to use high resolution or high-quality images/graphs when creating the poster and then convert it to PDF (as PDF files can be compressed).
  • Provide clear labels or headings for each section of your presentation to avoid confusion.
  • On light backgrounds (white, yellow, light blue), use dark fonts (black, navy blue, dark green).
  • On dark backgrounds (blue, purple), use light fonts (white, yellow, cyan etc).

Avoid The Following:

  • A total file size which exceeds 10 MB. 100 MB
  • The use of red or green fonts or backgrounds as they are difficult to read.
  • Stretching the images manually as they will lose quality when enlarged.

Sister societies meetings

All sister societies meetings will take place on June 18 and are accessible to all Congress participants.
All speakers, chairs and co-chairs of these sessions must register for the congress.

4. Exhibitors

Exhibitor Registration and Housing

Exhibitor registrations are handled by the ICD2025 Sponsor team in accordance with contractual procedures, as each booked stand includes a set number of badges.
The cost of every additional purchased badge is EUR 150,00 VAT included per badge.
Badges purchased on site have a cost of EUR 200,00 VAT included per badge.

Exhibitor badges will be distributed onsite at the Exhibitor desk in the registration area on Level -1, starting from Wednesday June 18 2025 at 07.30.

Registration desk is located at Foyer (Level – 1) of the Congress Venue.

Exhibitor badges

Exhibitor badges allow access to the Exhibition Hall, Opening and Closing Ceremony, and does not allow access to scientific sessions.
Exhibitors can access the session sponsored by their company.
There is no limit to the number of exhibitor badges that can be purchased. Exhibitors do not include any social events in their registration fee; they can purchase them.

Exhibitors are allowed to enter from 7:30.
Doors open to the public & registration begin at 8:30.

Restricted access

Press, Nurses Non-Prescribers and Medical Students, will not be allowed to enter the exhibition hall and will automatically be classified as NON-Healthcare Professionals.

Booth set-up

All booths (including shell schemes)Wednesday June 18from 7.00 to 19.00

All materials must be removed from the exhibition hall by June 18 at 16.00.
From 16.00 until 19.00 only refinements are allowed at the stands.
All stands must be completed by June 18 at 19.00.
Exhibitors can purchase extra hours of set-up directly from the official platform of the congress venue.

Dismantling

Saturday June 21 from 13.30 until midnight

No additional dismantling hours are available.

Sponsor list and map

Download the official ICD2025 app and go to the Sponsors section for the company list and a map of their stands. You will also have access to their digital inserts. Save paper and help the environment! Stay tuned to find out the release date of the Congress App.

No-booth exhibitors

It is not permitted to sponsor products without reserving a booth.

Side events

Certain guidelines and the following Blackout Hours must be observed:

Extra speech

Live speeches are not allowed at booths.

A/V suppliers

No external A/V supplier is allowed.

General contractors

It is possible to use your own stand-building.
For 9sqm booths, it is mandatory to purchase a shell scheme booth trough a dedicated platform.

Branding

On the branding, sponsor companies can display their logo, the company slogan or images that ideally refer to the company’s products. It is not allowed to display products.

Congress social events

All congress participants are invited to attend:

  • Welcome Reception (June 18, Rome Convention Center “La Nuvola”): Level Forum
  • Closing Ceremony (June 21, Rome Convention Center “La Nuvola”): Colosseum room

Extra social events

During the congress days, a Networking dinner will take place, on June 20, where all participants can attend, subject to registration and payment of an entrance fee.
